How to retrieve a solution in Zoho CRM

Retrieving a solution in Zoho CRM means locating and accessing a saved knowledge base article that addresses a customer issue or common question. Solutions serve as reusable answers that your support team can reference or share when handling similar cases.

Your support team needs quick access to solutions to resolve customer issues faster and consistently. When you retrieve a solution, you can apply it to multiple cases, reducing resolution time and ensuring customers receive standardized, accurate answers. This is especially valuable when handling recurring problems or frequently asked questions.


Step-by-step


Step 1. Navigate to the Solutions module


Open Zoho CRM and click the Solutions tab in your navigation menu. This takes you to the Solutions Home page where all your organization's solutions are listed.[1]


Step 2. Search or browse for your solution


You can find a specific solution in two ways. Use the search bar to enter keywords related to the solution you need, or scroll through the list of existing solutions. Zoho CRM searches across all modules, making keyword search the fastest method to locate any record.[6]


Step 3. Click the solution to open it


Select the solution from the list. The Solution Details page opens, displaying all the information stored in that record.[1]


Step 4. Review the solution details


The Solution Details page shows the solution's key fields, including the description, comments, and other details you need to understand the issue and its resolution.[1] Standard fields may vary depending on your organization's business process configuration, so contact your System Administrator if you need access to additional fields.[1]


Step 5. Use the solution in your workflow


Once you've retrieved the solution, you can reference it when responding to a case, share it with a customer, or clone it to create a similar solution with modifications. If you need to make changes to the solution, you can edit it directly from the Solution Details page.


Common pitfalls


Some standard fields in solutions may not be visible or editable in your view. This happens when your System Administrator has customized the module to match your organization's specific business process. If you cannot see or edit a field you expect, contact your System Administrator rather than assuming the field is unavailable.[1]


When cloning a solution to create a new one, remember that the person who creates the clone becomes the owner of the new record. If you need a different user to own the cloned solution, use the Change link in the Solution Owner field on the Solution Details page to reassign ownership.[1]
