Why this matters
Tasks in Zoho help you track follow-ups, delegate work, and keep projects moving without things slipping through the cracks. Whether you're managing a solo to-do list or coordinating across a team, knowing how to create and configure tasks correctly saves time and reduces miscommunication. Setting reminders and due dates at creation time means you won't need to revisit records just to add that information later. [4]
Step-by-step
Step 1. Sign in to your Zoho account and navigate to the ToDo section from the left-hand navigation pane. [1]
Step 2. Click New Task to open the task creation panel. A pop-up or side panel will appear where you can fill in all the relevant details. [1]
Step 3. Enter a clear, descriptive title for your task. If you're creating the task from an email, you can use the More Actions button on the email preview and select Add To → Tasks — the email subject automatically becomes the task title and the body becomes the description. [6]
Step 4. In the Assigned to field, add the person (or people) responsible for completing the task. You can assign a task to up to 5 individuals, and each assignee will have the ability to edit, update, and manage the task. [1]
Step 5. Set a Due Date for the task. This is especially important if you plan to use overdue notifications, which only trigger when a due date has been defined. [1]
Step 6. Configure a Reminder by specifying the date and time you want to be notified. You can choose to receive the reminder as a push notification, an email, or both. Keep in mind that reminder alerts are sent to both the task owner and any assignees. [1]
Step 7. Add a Description to provide additional context — links, notes, reference material, or instructions. This content is visible to all group members, assignees, subtask owners, and any invitees you add. [1]
Step 8. If the task is large, consider breaking it into Subtasks. Subtasks are mapped under the parent task and can be assigned to different team members, making it easier to delegate components of a larger piece of work. [3]
Step 9. If you need colleagues who aren't assignees to stay informed, use the Add Invitees feature. Invitees can view, like, and comment on the task without being formally responsible for it. [4]
Step 10. Click Save to create the task. It will now appear in list and board views, and assignees will be visible at a glance. [1]

Quick alternative: email-to-task
If you prefer not to navigate the UI, you can email yourself at yourusername+task@yourdomain.com. The subject line becomes the task title and the email body becomes the task description — no manual entry required. [3]

Recurring tasks
For work that repeats on a schedule — such as weekly reports or monthly billing — Zoho supports Recurring Tasks. You can configure the recurrence cycle when creating or editing a task, and the platform will automatically regenerate the task at the defined interval. [3]

Common pitfalls
- Overdue notifications won't fire without a due date. If you enable the overdue notification toggle but forget to set a due date, the notification will never trigger. Always set the due date first. [1]
- Personal tasks vs. Group tasks. Personal tasks are only visible to you and your assignee by default. If you need broader team visibility, either create a Group Task (which requires a Streams group to be set up first) or manually add invitees to your personal task. [4]
- Assignee limit. The multi-assignee feature supports a maximum of 5 people per task. If your team is larger, consider using subtasks with individual owners instead. [1]
- Changing an assignee. To reassign a task, open it, remove the current assignee's name, and type in the new person's name. For Group Tasks, reassignment rules may differ based on your access permissions. [6]

What to check
- Confirm the due date and reminder are both set — verify these appear correctly in the task detail view before closing the panel, since overdue alerts depend on the due date being present. [1]
- Check assignee visibility — open the list or board view and confirm all intended assignees are shown against the task, especially if you assigned multiple people. [1]
- Verify task type (Personal vs. Group) — make sure the task is associated with the correct group if it needs to be visible to your whole team, rather than sitting silently in your personal task list. [4]
