How to get record audit logs in Zoho CRM

Access complete audit trails and change history for any record.

Zoho CRM's Audit Log gives you a chronological record of every action users have taken inside your CRM account, making it straightforward to trace what happened to a record — and who was responsible — before or after a key event. [3]

Why this matters

When deals go missing, field values change unexpectedly, or you need to demonstrate compliance during an internal review, the Audit Log is your first port of call. It lets administrators pinpoint exactly which user performed an action and when, without relying on memory or manual notes. [3] Recent platform updates have also extended Audit Log coverage to include report deletions — both temporary moves to the Recently Deleted folder and permanent removals — so your oversight is more complete than ever. Step-by-step

Step 1. Log in to your Zoho CRM account with Administrator credentials. Only users with the appropriate administrative permissions can access the Audit Log, so confirm your role before proceeding. [3]

Step 2. Navigate to the Security Control section of your CRM settings. The Audit Log sits within this area of the platform, reflecting its role as a governance and monitoring tool rather than a standard reporting feature. [3]

Step 3. Open the Audit Log page. You will see a time-ordered list of entries, each representing an individual action carried out by a CRM user. Each entry captures the context needed to understand what changed and who triggered the change. [3]

Step 4. Review the log entries relevant to your investigation. The log is designed to help you determine the sequence of events surrounding any given record — what the state was before an event and what it became afterwards. [3]

Step 5. If you are investigating report-related activity specifically, note that the Audit Log now captures both the initial deletion of a report (move to Recently Deleted) and its permanent removal. An entry for a temporary deletion will identify the user and the report name, while a permanent deletion entry will explicitly state that the record was removed from Recently Deleted. [6]

Step 6. Be aware that Audit Log data for report deletions is retained for up to three years, giving your team a substantial historical window for compliance or review purposes. [6]

Common pitfalls

  • Insufficient permissions: The Audit Log is restricted to administrators. If a standard user attempts to access it, they will not see the option in their settings menu. Verify the user profile's security settings before troubleshooting a missing menu item. [3]

  • Confusing CRM Audit Log with other Zoho products: Zoho Social, Zoho FSM, and Zoho Survey each have their own separate audit log features with different retention windows and navigation paths. For example, Zoho Social's audit log is found under Settings > Brand Settings > Audit Log and retains data for up to one year, while Zoho Survey retains only the most recent 180 days. [1][4] Make sure you are working inside Zoho CRM specifically.

  • Expecting real-time field-level diffs for all record types: The Audit Log records actions chronologically, but the depth of detail per entry can vary. If you need granular before/after field comparisons on a specific record, cross-reference the Audit Log with the individual record's history panel inside CRM. [3]

What to check

  • Confirm administrator access — verify that the account you are using has Security Control permissions enabled, otherwise the Audit Log menu will not be visible. [3]
  • Verify the correct product — double-check you are in Zoho CRM's settings and not in a linked Zoho product such as Zoho Social or Zoho FSM, both of which have their own separate audit log interfaces. [1][2]
  • Check retention scope for your use case — if you need to review report deletion history, confirm that the events fall within the three-year retention window now available for that log category. [6]
