How to Bulk Import Client Data from Images in Zoho CRM

Lede: This error appears when Zia's bulk image import does not create records for one or more images (they are "skipped" or the import fails). The CRM reports skipped records or a partial import instead of the expected new/updated records.

What it means

Zia ICR tried to extract field values from the images in your uploaded ZIP using the Field Prompt extraction method and could not produce valid values for required fields or failed to map values for one or more files, so those images were not converted into CRM records. Zia enforces mandatory system fields and will skip any image where a required field is missing or unreadable; skipped items show up in the import history so you can review them later [1][5].

Common causes

  • You uploaded a ZIP with images whose text is blurred, rotated, low-contrast, or otherwise unreadable to Zia’s OCR, so required fields could not be extracted [1][5].
  • The Field Prompt mapping omitted or mis-mapped mandatory CRM fields (Zia includes mandatory system fields by default) so the import could not satisfy required values [1][5].
  • File naming or ZIP structure does not match the expected input (wrong module/layout or extra nested folders), so Zia could not pair images with the chosen module/layout.
  • The images contain the required information but the sample testing mappings were not validated—incorrect prompt settings or missing subform mappings cause extraction failures [1].

How to fix it

  1. Open the import job’s import history and download the skipped-record report to see which images failed and why. Review the specific error messages for each skipped file [5].
  2. Re-run sample extraction for a small set of representative images in the bulk-import UI. Adjust Field Prompt mappings (include subform fields if needed) until sample results show correct values for mandatory fields [1][5].
  3. Make required fields present or optional: if a mandatory system field is not present in images, add a default value via mapping rules or pre-fill that CRM field in the import settings where allowed; otherwise correct the source images [1][5].
  4. Fix image quality and structure: straighten/rotate, increase contrast, save as supported formats, and ensure your ZIP contains the image files at the root (no unexpected nested folders). Then retry a small test ZIP.
  5. If you need to update existing records instead of create new ones, confirm you selected the correct module/layout and identifier field (email, phone, or custom key) so Zia can match images to records. Test matching on a few records before full run.
  6. Re-run the full import after corrections. Use approval-based entries during testing to manually verify records before finalizing if you want human review [1][5].

When to escalate

If skipped-record details are unclear, sample extractions keep failing despite clean images and correct mappings, or you suspect a backend OCR/ICR issue, escalate to Zoho Support with: the ZIP (sample), screenshots of sample extraction, the skipped-record report, and the org/DC (US/EU/CN) so support can investigate further [5].
