Sync Zoho Projects Tasks to Zoho Desk Tickets

Beam Help — independent expert support for Zoho. This article shows how to create Zoho Projects tasks from Zoho Desk tickets by using the Desk–Projects integration so that repeating support issues become tracked work in Projects rather than only Desk tickets[1].

Why this matters

Use this when a recurring Desk ticket represents work your engineering or product teams must track as a task or issue in Zoho Projects[1]. Creating a Project task from a Desk ticket keeps deadlines, priority, and assignment inside Projects while preserving the original ticket record in Desk[1][5]. Our team is not official Zoho support; this guidance is based on published Zoho help content and community notes[1][5].

Step-by-step

  1. Confirm the Desk–Projects integration is active. Open Zoho Desk integrations and check that Projects is configured; if integration isn’t active you must enable it before creating tasks from tickets[1][5].[1][5]

  1. Open the ticket that represents the recurring issue you want tracked. From inside the ticket view in Zoho Desk you will have related actions for creating tasks/issues in Projects once the integration is in place[1].[1]

  1. Create a task or issue from the ticket. Use the Desk option to convert the ticket into a Projects task or issue so the work appears in your chosen project and task list in Zoho Projects[1].[1]

  1. Choose project, task list template, and assignees. Add the new task to an existing project and, for recurring work, place it in a task list template or create a new template to hold frequent tasks; assign the task to one or more users as needed[1].[1]

  1. Set priority and deadline inside Projects. When creating the task you can set a priority (Low, Medium, or High) and select a deadline based on your project work hours so Teams can plan and report on it[1].[1]

  1. Use Projects reports and dashboards to follow progress. After the task exists in Zoho Projects monitor status, planned vs actual time, and workload using Projects reporting and dashboards[1].[1]

  1. Manage the task from Desk mobile if needed. Agents can view, add, edit, and comment on tasks linked to tickets using the Zoho Desk mobile app, and perform quick actions from the Tasks list within a ticket[2].[2]

  1. Deactivate integration if you no longer want sync. If you need to stop synchronizing, go to Desk Settings > Integrations (or Toppings) > Zoho Desk > Manage and click Deactivate, then confirm in the popup[5].[5]

Common pitfalls

  • Tickets remain in Zoho Desk after creating Tasks in Projects; creating a task does not delete the original ticket, so plan workflows accordingly[5].[5]
  • Only create tasks in Projects after confirming the correct portal/project mapping; Projects portals must exist to route created tasks into the expected project[7].[7]

What to check

  • Verify the Desk–Projects integration shows as active in Desk Integrations before attempting to create tasks from tickets[1][5].[1][5]
  • Confirm the new task appears in the intended project and task list template and has the correct priority, deadline, and assignees[1].[1]
  • Make sure agents who need mobile access can see and act on tasks linked to tickets in the Zoho Desk mobile app[2].[2]
