Zoho Desk Tags: what it does

Create and organize tags to categorize and label records for better organization.

Tags in Zoho Desk are short, user-defined keywords you attach to tickets, customers, and articles so you can group, filter, and find related records across the help desk quickly. Tags stay visible on each record and appear in search and filtering controls so teams can slice data by topic, product, priority, or any workflow label you choose.

What is it — 2-4 sentences answering "what does this feature do in Zoho DESK"

Tags let agents and admins assign one or more keywords to tickets, customers, and knowledge-base articles to create cross-cutting categories that don’t depend on folder or field structure. That makes it easy to filter lists, run searches, and build views that show every record tagged with a specific term. Tags are lightweight and can be combined on a single record so the same ticket can appear in multiple tag-based filters, improving retrieval when your account grows [2][6].

When to use it

  • Group tickets related to the same product issue (example: “ProductX-Billing”) so agents can pull all affected tickets regardless of department or status [6].
  • Mark tickets that require the same SLA handling or escalation path without changing core fields (example: “HighEscalation”) so automation and reports can target them [6].
  • Tag customer records by contract type or region to filter lists for renewals and outreach campaigns [2].
  • Label knowledge-base articles with audience or use-case tags (example: “Admin-Setup”, “API-Examples”) to make article search results more relevant [6].
  • Create ad-hoc cohorts for triage or audits (example: “Q2-Audit”) so you can build temporary filters and later remove or repurpose the tags [2].

How to access it

Add and remove tags directly on the record form: open a ticket, customer, or article and enter tag names in the Tags field on the right-hand panel or record header; press Enter to create a new tag or choose an existing one from suggestions [2]. To find tagged records, use the global search or the Tags pane/filter in list views to filter by one or more tags; searches that include tags return matches across Tickets, Customers, and Articles when you scope the search accordingly [1][6]. Tags are also exposed through Zoho Desk's APIs and programmatic endpoints so you can read, add, or remove tags from records in automation or external integrations [6].

Related features

  • Saved views and custom list filters — build persistent lists that combine tags with other criteria for daily agent queues [1].
  • Global search and module search — include tag names in searches to surface related tickets and articles quickly [1][6].
  • Knowledge Base tagging — use tags specifically on articles to improve article discovery and suggestions [6].
  • Automation rules and workflows — use tags as trigger conditions or outcomes in rules that route or update tickets (apply/remove tags via automation) [2].
