Zoho Desk Advanced Search: what it does

Use advanced search filters to find records with complex criteria and conditions.

Advanced Search in Zoho Desk gives agents a powerful, field-level way to locate records across modules when a simple keyword lookup isn't precise enough.


What is it


Advanced Search is a dedicated search mode in Zoho Desk that lets agents query records using specific field values rather than free-text keywords alone. Instead of scanning through broad keyword results, agents can target exact criteria — such as a ticket's status, priority, assignee, or contact name — to surface only the records that match every condition. It is available across core modules including Tickets, Customers, Articles, Products, and Activities, complementing the Quick Search and Faceted Search options already built into the platform.[2] Unlike Quick Search results, Advanced Search results cannot be sorted by Modified Time or Relevance, so it is best used when the field-level precision of the query itself is the primary filter.[1]


When to use it


  • You need to find all open, high-priority tickets assigned to a specific agent across a large ticket queue, where a keyword search would return too many unrelated results.[2]
  • You want to locate a contact record by last name rather than first name, especially after changing the Name Format setting under Setup.[1]
  • You are auditing records in the Accounts or Contacts module and need to match on a combination of fields simultaneously rather than browsing alphabetically.[1]
  • You need to select a large range of matching records in bulk — using the Shift key — to perform a batch action such as reassignment or closure after the search returns results.[1]
  • You are searching within a specific department and want to constrain results to that department's records without relying on facet filters after the fact.[2]
  • You need to find records in the Activities module (tasks, calls, or events) by a precise attribute like due date or status rather than a keyword in the subject.[2]

How to access it


From any page in Zoho Desk, click the Search icon in the top navigation bar to open the search panel.[2] After the panel opens, look for the Advanced Search option — it appears alongside Quick Search and Faceted Search as one of the available search modes.[2] Select the target module (Tickets, Customers, Articles, Products, or Activities), then fill in the field-specific criteria presented in the Advanced Search form and submit the query. Because Advanced Search operates at the field level, the sort-by-Relevance and sort-by-Modified-Time controls visible in Quick Search results are not available here; results are returned based solely on the field conditions you specify.[1]
