Zoho CRM + Microsoft 365 — Outlook, Teams, OneDrive integration

Outlook plugin install, Teams notifications, OneDrive document linking. Auth + permissions walkthrough.

Zoho CRM's Microsoft 365 integration connects your CRM workflows directly with Outlook, Microsoft Teams, and OneDrive, keeping email, meetings, and files in sync without switching between applications.

What is it

Zoho CRM offers a suite of integrations with the Microsoft 365 ecosystem that covers three core areas: email, meetings, and file storage. The Outlook integration lets you connect your Office 365 or Outlook inbox to CRM using IMAP, POP, or the modern Microsoft Graph API, so emails are logged against the right contacts and deals automatically [4]. Microsoft Teams can be added as an online meeting provider directly inside the Meetings module, allowing reps to schedule and manage Teams calls from within CRM [1]. File attachments and documents stored in OneDrive or Zoho WorkDrive can also be linked to CRM records, centralising deal-related content in one structured repository [6].

When to use it

  • Your sales team lives in Outlook — connect the inbox via Graph API so every inbound and outbound email is automatically associated with the matching CRM contact or lead, eliminating manual logging [4].
  • You run discovery or demo calls over Microsoft Teams — enable Teams as a meeting provider so reps can create, send, and track meeting links without leaving the CRM activity timeline [1].
  • You need a single source of truth for deal documents — link OneDrive or WorkDrive files to CRM records so proposals, contracts, and presentations are stored alongside the relevant opportunity rather than scattered across inboxes [6].
  • Your organisation uses the Outlook Add-in — install the Zoho CRM Add-in from the Microsoft 365 App Store to view and update CRM records directly from the Outlook sidebar, reducing context-switching for reps who spend most of their day in email [5].
  • You want a future-proof Microsoft connection — adopting the Graph API path positions your CRM email integration to take advantage of upcoming Microsoft 365 Copilot connector capabilities as they become available [4] [8].
  • Contacts need to stay in sync — the Office 365 sync pushes CRM contacts into a dedicated "Zoho CRM Contacts" address book in Outlook, keeping your CRM data accessible from within the Microsoft mail client [3].

How to access it

Outlook email (Graph API): In Zoho CRM, go to your personal Email Settings and choose the option to integrate your Outlook or Office 365 inbox; select Graph API from the provider dropdown, then authorise your Microsoft account [4]. Microsoft Teams meetings: Admins navigate to the Meetings module, open the Preferences tab, click Add Provider, select Microsoft Teams from the Online Meeting Marketplace, and click Enable; individual users are then prompted to authorise their own Microsoft account the first time they choose Teams as a meeting venue [1]. Outlook Add-in: The Zoho CRM Add-in for Outlook is available through the Microsoft 365 App Store and can be installed by following the setup guide under Integrations > Microsoft > MS Outlook Add-in in the CRM help documentation [5]. WorkDrive / OneDrive file linking: The WorkDrive–CRM integration is configured at the admin level and surfaces a centralised file repository directly on CRM records once enabled [6].
