This feature shows you how to log emails you send from Outlook (or any external mail client) into Zoho CRM by using a unique BCC address. Add that address to outbound messages and Zoho will capture the conversation under the correct contact or lead record.
What is it
Zoho CRM accepts a unique BCC Dropbox address that captures copies of emails sent from external clients and stores them against matching records in CRM. When you add the BCC address to an outgoing message, the system parses the recipients and matches or creates related records, then attaches the email to the contact, lead, or deal timeline. That lets sales and support teams keep a complete history of customer communications even when messages originate in Outlook, Apple Mail, or other clients instead of the CRM mail composer.
When to use it
- You use Outlook as your primary email client but need every sent message logged in CRM so reps see a full communication history for accounts and opportunities. [1]
- Your team sometimes sends one-off or personal-style emails that you do not want to route through CRM mail servers but still must be auditable inside CRM. [1]
- Field reps work offline with desktop email apps and later sync, and you want those outbound messages recorded on the right record without manual copy-paste. [1]
- Legal or compliance teams require an archive of customer-facing emails inside CRM for audits or dispute resolution. [1]
- You want to capture candidate or client correspondence in recruitment workflows where messages originate from external mail clients. [1]
How to access it
Locate your personal or org-level BCC Dropbox address in Zoho CRM’s email settings and copy that address into Outlook’s BCC field when sending messages. In the CRM UI look for Email settings / BCC Dropbox (under Setup > Channels > Email or the account mail settings area) to view the address and any instructions for formatting the message so it matches records correctly. Paste the BCC address into your outbound message’s BCC line; CRM will ingest the copy and attach it to matching records automatically. [1]
