Integrate Phone System with Zoho CRM for Call Tracking & Dialing

Integrating your phone system with Zoho CRM adds click-to-dial, automatic call logging, screen pops, and call notes directly to contact and lead records so reps spend less time on admin and more time talking to customers.

What is it

Phone system integration connects a telephony provider or mobile bridge to Zoho CRM so inbound and outbound calls appear on the relevant lead, contact, or deal. Common outcomes: one-click dialing from CRM records, automatic creation of call activities with timestamps and durations, screen pop-ups that show contact details when a call arrives, and recorded call links or transcripts when supported by the provider. Integrations come as native Zoho products or Marketplace extensions; many add SMS and conversation analytics too. [8] [7]

When to use it

  • You want every incoming or outgoing call recorded on the contact or lead automatically, so sales and support histories stay accurate without manual entry. [2]
  • Your team needs click-to-dial from list views, detail pages, or custom buttons to remove dialpad friction and speed outreach. [7]
  • You need screen pop-ups on incoming calls so reps see customer context (open deals, last activity) before they answer. [5]
  • You plan to run call-heavy campaigns and want call metrics (duration, answered/missed) tied to CRM reports and dashboards. [7]
  • You need two-way SMS or voicemail drop features alongside telephony to centralize communications inside CRM. [1]
  • You have mobile-only reps and want their Android phone calls logged in CRM without full VoIP hardware. Marketplace mobile bridge apps support this pattern. [6]

How to access it

Install a telephony extension from Zoho Marketplace (Marketplace > Find Apps > search for "phone", "dial", or a vendor name) or enable Zoho's built-in telephony connectors under Setup > Channels > Telephony in Zoho CRM. After installation, configure the extension per vendor instructions and map numbers/agents to CRM users. For programmatic control, use Zoho CRM's REST APIs for Activities and Calls to read/write call records after your telephony provider posts webhooks to your integration endpoint. For Marketplace options and recent additions, check the Marketplace release notes and extension listings. [7] [5] [8]
