How to retrieve contact history in Zoho Desk

View the complete history and changes of a contact record.

Contact history in Zoho Desk is tied to the tickets, interactions, and linked records associated with each contact. To retrieve this history, you'll need to access the contact record and review its related activities, tickets, and any synced data from integrated systems like Zoho CRM.

Support teams need to understand a contact's full interaction timeline to provide context-aware service and avoid repeating questions. If your contacts are synced with Zoho CRM, you may also need to refresh their details to see the latest information pulled from your sales system.


Step-by-step


Step 1. Navigate to your contact record.


Go to Customers > Contact and open the contact whose history you need to review.[1]


Step 2. Check linked tickets and activities.


Once the contact record is open, look for sections showing associated tickets, calls, and other activities. These form the interaction history for that contact. The system displays records created from or linked to the contact, including service requests, estimates, work orders, and service appointments if you use Zoho FSM.[^2,5]


Step 3. Refresh contact data from Zoho CRM (if integrated).


If your Zoho Desk instance is integrated with Zoho CRM and you need the most current contact information, you can manually pull the latest details. Click the More Actions icon (…) and select Update from Zoho CRM, then click Continue.[1] This syncs fields such as first name, last name, email, phone, mobile, title, address, and description without disrupting your regular sync schedule.[1]


Step 4. View synced CRM records.


If you've integrated Zoho CRM, you can filter contacts to see which ones are mapped with CRM data. Navigate to Customers > Contact, then in the left panel under All Views, click Contacts Mapped with CRM to identify linked records.[1]


Step 5. Access notes from linked systems.


If the contact is linked to Zoho FSM, you can view notes added to the contact record in FSM directly from Zoho Desk. Open the contact and look for notes associated with related requests, estimates, work orders, or service appointments.[5]


Common pitfalls


If you don't see recent contact updates after syncing with CRM, check that your instant sync hasn't been paused. You may need to resume it from Zoho CRM > Settings > Marketplace > Zoho > Zoho Desk > Manage > Sync Settings > Resume Sync.[7] Be aware that if your sync preferences are set to delete records when they're removed from CRM, the same deletion will occur in Desk—you can change this in Desk > Settings > Marketplace > Zoho > Zoho CRM > Preferences by selecting "Never Delete" if needed.[7]
