Zoho Desk does not have a built-in article version history feature in the way you might expect. The version history capability is available in Zoho Learn (the knowledge base product), not in Zoho Desk itself.
Why this matters
If you manage a knowledge base within Zoho Learn and need to track changes to articles over time, understanding where version history lives is critical. You may want to review who edited an article, when changes were made, or restore a previous version if recent edits introduced errors. Knowing the plan requirements and access method saves you from looking in the wrong place.
Step-by-step
Step 1. Confirm your plan supports version history.
Article version history is available only in Express and Professional plans within Zoho Learn. The Free plan does not include this feature. [1] If you're on Express, you can access article history from the last 30 days; Professional plans offer unlimited version history. [1]
Step 2. Navigate to the article you want to review.
Open the knowledge base in Zoho Learn and locate the article whose versions you need to check.
Step 3. Click the More Options menu.
On the article page, look for the More Options button (represented by three dots or a similar icon). [1]
Step 4. Select Version History.
From the dropdown menu, choose "Version History." [1] This opens a panel showing all previous versions of the article.
Step 5. Review the version list.
The version history panel displays older versions of your article. You can see when each version was created and who made edits. Use this information to identify the version you need.
Step 6. Preview or restore a version (if available).
Depending on your Zoho Learn setup, you may be able to preview a previous version or restore it as the current version. Check your interface for preview or restore buttons in the version history panel.
Common pitfalls
The version history feature is specific to Zoho Learn's knowledge base module, not Zoho Desk's ticketing system. If you're looking for version history on articles stored in Zoho Desk itself (rather than in a linked Zoho Learn knowledge base), this feature is not available. Additionally, Free plan users cannot access version history at all, so verify your subscription level before troubleshooting further.
What to check
- Confirm your Zoho Learn plan is Express or Professional (not Free). [1]
- Verify the article exists in Zoho Learn, not solely in Zoho Desk.
- If you need to restore an older version, ensure you have contributor or admin permissions to edit the article. [1]
