Zoho Desk stores account information across multiple views and integrations, but retrieving account history requires understanding where that data lives and how to access it. This guide walks you through finding account records, viewing their details, and recovering deleted accounts when needed.

Step-by-step
Step 1. Navigate to your accounts list.
Open Zoho Desk and go to Customers > Accounts from the main menu. This displays all active accounts in your system.[4]
Step 2. Choose your preferred view format.
Zoho Desk offers three ways to display accounts. The Table View shows account information in spreadsheet format with columns for account name, industry, phone, owner, and account type—ideal for scanning multiple records at once. Grid View displays accounts as individual cards showing essential details like name, phone, and owner. List View presents a compact linear display.[4] Select whichever format helps you find the account fastest.
Step 3. Customize columns to see what matters.
If you're using Table View, click the Select Columns icon next to the column header. Check or uncheck fields to display only the information you need, and drag columns to reorder them. Your customizations apply to all users with access to that view.[4]
Step 4. Search or filter for a specific account.
Use the search function to locate an account by name or other criteria. You can sort results by Modified Time (to see recently changed records first) or Relevance (based on keyword matches in the record).[8] By default, 10 records display per page, but you can increase this to 50 using the More Actions icon.
Step 5. Open the account detail view.
Click on an account name to open its full record. This shows all associated information, linked contacts, tickets, and related activities.[4]
Step 6. Sync the latest data from Zoho CRM (if integrated).
If your Zoho Desk is connected to Zoho CRM, account details may be synced on a schedule. To fetch the most recent information immediately, click the More Actions icon ( … ) and select Update from Zoho CRM, then click Continue.[1] This pulls the latest phone, email, fax, website, industry, revenue, address, and description fields from your CRM.
Step 7. Recover a deleted account.
If an account was deleted, go to Setup > Data Administration > Recycle Bin. Select Accounts from the dropdown menu at the top. Find the account you want to restore and click Restore from the upper-right corner, then click Proceed to confirm.[5] Note that when an account is restored, its contacts will be dissociated; if a contact had this account marked as primary, one of its secondary accounts will become primary instead.[5]
Common pitfalls
Deleted accounts cannot be recovered once an administrator permanently deletes them from the Recycle Bin.[5] Always verify you want to permanently remove an account before taking that final step. Additionally, if you delete an account that has associated contacts, those contacts will also move to the Recycle Bin—contacts linked only to that account will be deleted entirely.[5]
When syncing with Zoho CRM, remember that manual updates work alongside your regular sync schedule and do not override existing sync settings.[1]
