How to perform template operations in Zoho Desk

Create, update, and delete templates programmatically.

Zoho Desk does not have a dedicated template feature in the traditional sense. However, Zoho's broader ecosystem includes template functionality across related products like Zoho Learn (for knowledge base articles), Zoho Projects, and Zoho WorkDrive that may integrate with or complement your Desk workflow.


Why this matters


If you manage a Zoho Desk helpdesk, you may want to reuse standardized formats, responses, or documentation structures. Understanding where templates live in the Zoho suite helps you build consistent processes and reduce repetitive work across support, knowledge management, and project tracking.


Template options in the Zoho ecosystem


Zoho Learn templates for knowledge bases


If your Desk instance uses Zoho Learn for a knowledge base, you can create article templates to maintain formatting consistency. Navigate to a space and click Manage in the top-right corner, then select Settings and the Template tab. Click New Template, enter a name and description, and use the editor to design your template structure [1]. You can also convert any existing article into a template by saving it, which preserves its structure, formatting, and content for reuse [1].


Hub admins can create hub-level article templates that users across the hub can apply when creating articles [1]. Manual-level templates are available in Professional and Custom plans; navigate to your manual, click the More options icon in the top-right corner, select Templates, and click New Template [1].


Zoho Projects templates


If you use Zoho Projects alongside Desk for project-based support work, project templates let you reuse task structures, milestones, and task lists [8]. Within a project template, you can set task recurrence, reminders, and task dependencies that will apply when you create a new project from that template [8].


Zoho WorkDrive document and spreadsheet templates


For support documentation or internal processes, Zoho WorkDrive lets you create personal templates (My Templates) or organization-wide templates (Org Templates) for documents and spreadsheets [2]. Click Templates in the left panel, then + New My Template or + New Org Template, and select Document or Spreadsheet [2]. You can also save any existing Writer document or Sheet spreadsheet as a template [5]. Team/Enterprise Admins and Template Admins can create and modify Org Templates; search templates using the built-in search bar by keyword, author name, or content [7].


Common pitfalls


Template support varies by plan and product. Article templates in Zoho Learn are available only in Professional and Custom plans, not Free or Express [1]. WorkDrive mobile apps for Android and iOS do not currently support templates [2]. Public Templates in WorkDrive cannot be modified or deleted, and Zoho Show presentation templates are not supported in WorkDrive [2].

  • Confirm which Zoho products your organization uses (Learn, Projects, WorkDrive) and which plan tier you're on, as template availability depends on both.
  • Test creating a template in the relevant product and verify that team members can access and use it according to their role (personal vs. organizational templates).
  • Review whether your Desk workflow would benefit from templates in a companion product like Learn for knowledge articles or Projects for recurring support tasks.
