How to manage recycle bin in Zoho Desk

Recover deleted items or permanently remove them.

The Zoho Desk Recycle Bin is a centralised holding area for deleted records, giving authorised users a window to recover data before it is gone for good. Step-by-step


Step 1. Navigate to the Recycle Bin.

In Zoho Desk, go to Setup > Data Administration > Recycle Bin. This is the single location where deleted records from all supported modules are held temporarily until they are either restored or permanently removed. [1]


Step 2. Filter by module.

Once inside the Recycle Bin, use the drop-down menu in the top bar to select the module you want to work with — for example, Calls, Tasks, Events, or any other supported module. Filtering by module makes it much easier to locate specific deleted records without scrolling through everything at once. [5][6]


Step 3. Select the records you want to act on.

Tick the checkbox next to one or more records in the list. You can select individual items or use a bulk-select option to handle multiple records at the same time. [5][7]


Step 4. Restore records.

With your records selected, click Restore in the upper-right corner of the page. A confirmation prompt will appear — click Proceed to finalise the restoration. The records will be returned to their original module in Zoho Desk. [5][6][7]


> Important note on restoring: When you restore a record, its associated records are also brought back automatically. For example, restoring a task will also restore its linked contacts and tickets. [7]


Step 5. Permanently delete records.

If you are certain a record is no longer needed, select it and click Delete from the upper-right corner of the page. A confirmation dialog will appear — click OK to confirm. Once permanently deleted, the record cannot be recovered by any means. [5][6]


Step 6. Repeat for other modules.

Return to the module drop-down at the top of the Recycle Bin page and switch to another module (e.g., from Calls to Tasks or Events) to manage deleted records across the rest of your Zoho Desk data. [6]

Common pitfalls


  • Permanent deletion is irreversible. Once you confirm permanent deletion, there is no way to recover those records — not even by contacting support. Always double-check your selection before clicking OK. [5][6]
  • Associated records are restored together. This is usually helpful, but be aware that restoring one record may bring back related items you did not intend to restore. Review linked records before confirming. [7]
  • Access is role-restricted. Not every agent can access the Recycle Bin. Only authorised users have permission to view, restore, or permanently delete records from it.
