How to manage multiple locations for a single account in Zoho Desk

Beam Help — independent expert support for Zoho. This guide shows a practical way to represent multiple customer locations in Zoho Desk by creating separate account records and using Zoho Desk’s “Associate Contact with Multiple Accounts” option to link people across those locations[6].

Why this matters

If a customer organization has several branches or sites, you can track tickets, contacts, and location-specific context by modeling each branch as its own Account record rather than forcing all activity under a single account name[1][2]. Linking a contact to more than one account keeps a person’s tickets and relationships visible across those branches while preserving one primary account for direct relationships[6].

Step-by-step

Step 1. Create one Account record per physical location (branch or site) in Zoho Desk. Create separate Account entries so each location has its own account-level fields and ticket history rather than collapsing every branch under a single account name[1][2].[1][2]

Step 2. Enable Contacts-to-multiple-Accounts in Setup. Go to Setup > Customization > General Settings, click Contacts under the General Settings sub-menu, and turn on Associate Contact with Multiple Accounts on the General Settings for Contacts page[6].[6]

Step 3. Add or edit contact records and link them to multiple accounts. When creating or editing a contact, choose the account that should be the contact’s primary account; any other linked accounts become secondary associations so the contact can be related to multiple branch accounts[6].[6]

Step 4. Use the primary/secondary distinction for direct vs indirect relationships. The account shown in the Account Name field on a contact record is the contact’s primary account (a direct relationship), while other accounts attached to that contact are secondary (indirect) relationships[6].[6]

Step 5. Change primary account or dissociate secondary accounts when needed. To change which account is primary, edit the contact and mark a different account as primary; to remove a secondary association, simply dissociate that contact from the account[6].[6]

Step 6. Consider marketplace extensions if you need multi-account integrations for external review or listing services. If you receive external items (reviews, listings) tied to multiple external accounts, explore Zoho Marketplace apps that support multiple account sources such as Google My Business or Trustpilot connectors for Zoho Desk[3].[3]

Common pitfalls

  • The Contacts-to-multiple-Accounts feature is off by default; forgeting to enable it prevents linking one contact to several accounts[6].[6]
  • The system treats one linked account as primary; changing primary is required to remove the direct relationship or to switch the direct account for a contact[6].[6]

What to check

  • Confirm the Associate Contact with Multiple Accounts option is turned on under Setup > Customization > General Settings > Contacts[6].[6]
  • Verify each branch has its own Account record and that contacts are linked with the correct primary account and any needed secondary accounts[1][6].[1][6]
  • If you need external multi-account feeds (reviews/listings), check the Zoho Marketplace for compatible connectors such as Google My Business or Trustpilot apps[3].[3]
