Managing credit card and billing contact details in Zoho Desk is straightforward once you know which role has permission and where the settings live.
Why this matters
Zoho Desk ties all subscription-related actions — plan upgrades, downgrades, and payment method changes — to a single privileged contact. If that person's details are out of date, or if they leave the organisation, payments can fail and your account may be automatically downgraded. Knowing how to update the credit card on file and how to transfer billing responsibility keeps your support operations running without interruption.

Step-by-step
Updating the credit card on file
Step 1. Confirm you are logged in as the primary contact (also called the Super Admin), because only that role is permitted to manage subscriptions in Zoho Desk. [4]
Step 2. Click your Account Photo in the top-right corner of the Zoho Desk interface, then select Subscription at the bottom of the profile panel that appears. The Zoho Store page will open in a new browser tab. [4]
Step 3. Once on the Zoho Store page, click Your Store Details in the upper-right corner of the page. [4]
Step 4. From the drop-down menu that appears, choose Payment Method. You will see the card currently associated with your account. [4]
Step 5. Click Change on the Payment Method page, then enter the details of your replacement card on the *Change Payment Method* screen. [4]
Step 6. Click Update, then confirm by clicking OK. The Payment Method page will refresh and display the newly saved card details. [4]

Changing the primary contact (billing owner)
The primary contact is the person who originally set up the Zoho Desk account. All subscription notification emails — including plan changes and billing updates — are routed to this person. [1]
Step 1. Only the current account owner can initiate a transfer, so sign in using the existing owner's credentials. [2]
Step 2. Click your Account Photo in the top-right corner, then click Admin Panel (shown below your name and email address in the slide-out panel). The *Users* page opens by default. [2]
Step 3. Click the Organization tab in the left pane, then click Change Owner next to the *Owner Information* section. The *Change Owner* pop-up window will appear. [2]
Step 4. Type the new owner's name or email address into the text box. A drop-down list of matching users will appear — select the correct person. [2]
Step 5. If you want the new owner to hold ownership across all connected applications, select the checkbox labelled Make the user as owner of all applications. [2]
Step 6. Click Change Owner to confirm. The account and billing profile now belong to the new contact. [2]

Common pitfalls
- Expired or invalid card = account downgrade. If a scheduled payment fails because the card on file is no longer valid, Zoho Desk may automatically move your account to the Free plan. Update card details before expiry to avoid disruption. [4]
- Previous owner loses subscription visibility. Once ownership is transferred, the former owner immediately loses access to invoices, payment history, and all other subscription-related information. Make sure the outgoing owner has downloaded any records they need beforehand. [2]
- Owner has already left the company. If the current account owner departed without transferring ownership, work with your IT administrators to access their mailbox, reset the password, log in as that owner, and then complete the transfer. [2]
- Non-admin users cannot make these changes. Subscription management in Zoho Desk is restricted to the primary contact or Super Admin. Agents with other roles will not see the relevant options. [4]

What to check
- Verify the updated card by revisiting Account Photo → Subscription → Your Store Details → Payment Method and confirming the new card details are displayed correctly. [4]
- Confirm the new primary contact receives subscription notification emails (e.g., a test plan change or a billing confirmation) to ensure routing is working as expected. [1]
- Ensure the new owner can access the Admin Panel by having them log in and navigate to the Organisation tab, confirming they can see subscription and owner information. [2]
