Beam Help — independent expert support for Zoho. This guide shows how to turn an existing contact into a Help Center user (end user) from the Customers module in Zoho Desk, including single-contact invites, multi-brand invites, and bulk invites[1][4]. This is not official Zoho support[1].
Why this matters
Making a contact an end user lets that person sign in to your Help Center to submit and track tickets, read knowledge base articles, and participate in community forums[6][5]. Agents can invite contacts directly so customers don’t need to self-register, which speeds up access and reduces friction when you create tickets on their behalf[1][2]. Knowing the invite flow also helps control which brand-specific help center a contact can access when you run multiple help centers[4].
Step-by-step
- Step 1. Open the Customers module and pick the Contacts tab from the left-hand menu to find the contact you want to invite[1].
- Step 2. Open the contact record by clicking the contact in the search results or list view so the contact details load[2].
- Step 3. In the contact’s top panel, click the More icon to reveal additional actions[1].
- Step 4. Choose Add as End User from the More menu; this converts the contact into a Help Center end user so they can be invited[1].
- Step 5. Click Invite in the dialog that appears to send the invitation email; then click Continue to confirm and dispatch the invite[1].
- Step 6. The contact receives an email with a link to your help center at https://desk.zoho.com/portal/<portal name>/home so they can set up access[1].
- Step 7. If you operate multiple brands, repeat the Invite step for each help center you want the contact to access; invitations are per help center and do not automatically grant access to other brands[4].
- Step 8. To add many contacts at once, switch to a Contact List View, select multiple contacts, choose Add as End User(s) from mass actions, pick the target help center, and confirm by clicking Continue to send bulk invites[4].
- Step 9. If you need to stop an individual’s Help Center access later, open the contact record, click the More icon, select Deactivate End User, and confirm by clicking Deactivate in the dialog[4].
- Step 10. Remember that Add as End User (single or bulk) will be unavailable for contact records with unverified profiles, and contacts must have an email address to be invited[1][4].
- Step 11. If you routinely create tickets for callers, open the contact and use the Tickets tab and Add icon to submit a ticket with the contact pre-filled after they are an end user[2].
Common pitfalls
- Unverified profiles will block invitation actions: the Add as End User and Add as End User(s) options are disabled for unverified contacts[1][4].
- Contacts without an email address cannot receive an invitation, so ensure the contact record includes a valid email before sending invites[4].
- Deactivate End User cannot be applied in bulk; you must deactivate individual end users one at a time from their contact record[4].
What to check
- Verify the contact has a confirmed email and is not marked unverified before attempting to invite them[1][4].
- Confirm the correct help center (brand) is selected when sending the invite so access is limited to the intended portal[4].
- After sending, check that the contact received the invite email pointing to https://desk.zoho.com/portal/<portal name>/home and that they can complete account setup[1][6].
