How to list all profiles in Zoho Desk

View and retrieve all user profiles in your organization.

Listing all profiles in Zoho Desk is done through the Roles and Profiles section of your account's user management settings, where administrators can review and manage the permission sets assigned to agents.

Why this matters

Profiles in Zoho Desk control exactly what actions an agent is permitted to take — from replying to tickets and assigning work, to importing records and configuring workflow rules.[5] If you're auditing permissions, onboarding new agents, or troubleshooting access issues, knowing where to find the full profile list is essential. As independent expert support (Beam Help — not official Zoho support), we see this come up frequently during account security reviews and team restructuring projects.

Step-by-step

Step 1. Log in to your Zoho Desk account as an Administrator. Only users with administrator-level access can view and manage profiles and roles.[5]

Step 2. Click the Setup icon (the gear/cog icon) located in the top-right area of the Zoho Desk interface. This opens the central configuration area for your account.[5]

Step 3. In the Setup menu, navigate to the Users and Security (or User Management and Security) section. This section houses all permission-related configuration options for your Desk account.[5]

Step 4. Click on Roles and Profiles. You will land on a page that lists both the role hierarchy and the profiles configured for your organisation.[5]

Step 5. Select the Profiles tab or sub-section within that page. The full list of profiles currently defined in your Zoho Desk account will be displayed, showing each profile name along with its associated permission configuration.[5]

Step 6. To inspect the permissions tied to any individual profile, click on the profile name. This opens the detail view where you can see exactly which actions — such as ticket replies, record imports, or customisation features — are enabled or restricted for agents assigned to that profile.[5]

Common pitfalls

  • Insufficient access level: If you don't see the Setup icon or the Roles and Profiles option, your own user account may not have administrator privileges. Ask your Desk administrator to elevate your access or perform the lookup on your behalf.[5]

  • Confusing Roles with Profiles: Roles and Profiles are related but distinct concepts in Zoho Desk. Roles govern the *data* an agent can access (based on the organisational hierarchy), while profiles govern the *actions* an agent can perform. When listing profiles, make sure you are on the Profiles tab rather than the Roles tab to avoid confusion.[5]

  • Profile changes affect all assigned agents: Any edits made to a profile immediately affect every agent assigned to it — there is no staging or preview mode. Review carefully before saving changes.[5]

What to check

  • Confirm you can see all expected profiles — if a profile appears to be missing, it may have been deleted or merged; check with your Desk administrator.
  • Verify agent assignments — after locating the profile list, spot-check that agents are assigned to the correct profile, especially after any recent team changes.[5]
  • Cross-reference with Roles — ensure the profiles you've reviewed align with the role hierarchy in your account, so agents have both the right data access (role) and the right action permissions (profile).[5]
