How to list contract comments in Zoho Desk

Retrieve all comments on a specific contract record.

Listing contract comments in Zoho Desk is not directly supported as a native feature — the commenting and collaboration functionality lives within Zoho Contracts, which integrates alongside Zoho Desk and CRM for contract lifecycle management.

Why this matters

If your team uses Zoho Contracts alongside Zoho Desk for support or sales workflows, understanding where contract comments live — and how to access or tag colleagues in them — is essential for cross-functional collaboration. Contract comments are used during authoring, negotiation, and approval stages, and missing them can cause delays in getting contracts signed and executed. Knowing the correct product context saves time and avoids confusion when looking for comment history.

Step-by-step

Step 1. Recognise that contract comments are managed inside Zoho Contracts, not directly within Zoho Desk's ticket interface. Comments on a contract document are part of the collaboration and approval workflow in Zoho Contracts, so you will need to navigate there to view them. [1]

Step 2. Open the relevant contract record in Zoho Contracts. Comments are attached to the contract document itself, and they are visible to users who have been associated with that document — for example, as collaborators or approvers. [1]

Step 3. Within the contract document view, scroll to the comments panel. You will see all comments left by team members during the authoring, collaboration, and approval stages of the contract lifecycle. [1]

Step 4. To interact with a comment or draw a colleague's attention to it, use the @ mention feature. Type @ followed by the person's name to tag them. Only users already associated with the document — such as those holding Write, Comment & Fill Field, or Comment Only permissions — can be tagged this way. [1]

Step 5. Tagged users will automatically receive both an in-app notification and an email alert, so they can navigate directly to the comment without you needing to forward anything manually. [1]

Step 6. If you are working from a mobile device, the Zoho Contracts iOS and Android apps support contract lifecycle actions including approvals and signature workflows, giving you visibility into contract activity while away from your desk. [5]

Step 7. If your organisation uses the Zoho CRM integration, note that contract documents are also surfaced in the *Attachments* section of the relevant deal, account, or contact record in Zoho CRM — including the signed version once execution is complete. This gives sales teams a secondary place to reference contract history, though the comments themselves remain in Zoho Contracts. [2][7]

Common pitfalls

  • Wrong product context: Searching for contract comments inside Zoho Desk tickets will not surface comments made on the contract document in Zoho Contracts. These are separate systems, and comments live at the document level in Zoho Contracts. [1]
  • Tagging users who aren't associated: You can only @ mention users who have been explicitly added to the contract document as collaborators or approvers. Attempting to tag someone without the correct association will not work, and they will not receive a notification. [1]
  • Permission levels matter: During the authoring stage, only collaborators with Write, Comment & Fill Field, or Comment Only permissions are eligible to be tagged in comments. Users with view-only access or no association cannot be mentioned. [1]
  • Imported contracts and uploaded Word templates: Some features behave differently for contracts imported from outside Zoho Contracts or created using uploaded Word document templates. If you encounter limitations when trying to interact with document fields or comments in these contract types, this is a known constraint of those formats. [8]

What to check

  • Confirm that the users you want to tag in comments have been added to the contract document with an appropriate permission level (Write, Comment & Fill Field, or Comment Only) before attempting to @ mention them. [1]
  • Verify that in-app notifications are enabled for the relevant users in Zoho Contracts, so that tagged mentions actually reach them in a timely way. [1]
  • If you are using the Zoho CRM integration, check that the contract is correctly linked to the relevant CRM module record (Deals, Accounts, Contacts, Vendors, or a custom module) so that all stakeholders can locate the contract document from their usual workspace. [8][7]
