To log time against a contact in Zoho Desk, add an activity (call) and associate it to the contact or to a ticket that already links to the contact, entering the start time and duration so the time is recorded[2]. This guide shows the quick path from finding the contact to saving a call time entry in Zoho Desk[1][2].

Why this matters

When you need a recorded time entry for billing, reporting, or internal tracking, the Activities module stores completed calls with start time and duration so you have a timestamped record against the contact or ticket[2]. Associating the call with the correct ticket or contact keeps the activity visible on the record’s Activity tab and in reports[2]. If you already have the contact open, Desk pre-fills related fields for faster logging of the activity[1][2].

Step-by-step

Step 1. Open the contact by going to the Customers module, searching the customer by name or email, and opening the contact from the Search Results page[1].[1]

Step 2. From the contact’s Details page, click the Activities tab or go to the Activities module from the left panel to log a call directly[1][2].[1][2]

Step 3. Click the Add icon and choose Call to open the Add Call page[2].[2]

Step 4. Enter a Subject for the call, choose the call direction as Inbound or Outbound, and set the Call Status to Completed if the call already happened[2].[2]

Step 5. Specify the Call Start Date and Time using the calendar control and enter the Call Duration in minutes and seconds to record how long the interaction lasted[2].[2]

Step 6. Associate the call to the correct ticket by entering the ticket Subject or using the Search icon to pick an existing ticket; the Contact Name will auto-fill when you select a ticket[2].[2]

Step 7. If you are adding the call directly from the contact’s Activities tab, confirm or enter the Contact Name so the activity links to the contact record[1][2].[1][2]

Step 8. Add any Priority and a Description, then click Submit to save the call; the call is saved in the Activities module and will appear under the Activity tab of the related ticket or customer Details page[2].[2]

Common pitfalls

  • If you select a ticket while applying a template or switching views, the in-context contact can be lost, so verify the Contact Name is still present before submitting the call[5][1].[5][1]
  • If you need the latest contact fields synced from Zoho CRM before logging activities, refresh the contact from CRM using the Update from Zoho CRM action to ensure mapped fields are current[7].[7]

What to check

  • Confirm the Call Start Date and Time and the Call Duration fields are filled before submitting the activity[2].[2]
  • Verify the Activity appears on the contact’s Activity tab (or the ticket’s Activity tab if associated to a ticket) after submission[2].[2]
  • If you expected CRM-synced data on the contact, make sure the contact is mapped with CRM or run Update from Zoho CRM first[7].[7]
