How to delete accounts in Zoho Desk

Remove unwanted or duplicate accounts from your Zoho Desk system efficiently.

Deleting an account in Zoho Desk is a straightforward process completed from the account's detail view, but it carries significant downstream effects on contacts and tickets that every agent should understand before proceeding.


Why this matters


In a B2B support environment, Zoho Desk accounts represent companies or departments you support, and they tie together contacts, tickets, calls, tasks, and other records [6]. Step-by-step


Step 1. Open the Customers module in Zoho Desk, then click the Accounts tab located in the lower-left corner of the page [1].


Step 2. Locate the account you want to remove and click on it to open its detail view [1].


Step 3. In the top pane of the detail view, click the More Actions icon (the ellipsis or "more" menu), then choose Delete from the options that appear [1].


Step 4. A confirmation prompt will appear. Click Delete once more to finalise the removal [1].


That's all it takes to move the account out of your active records. However, the account is not permanently gone at this point — it lands in the Recycle Bin along with all associated data [1].

Recovering or permanently deleting from the Recycle Bin


When an account is deleted, all of its contacts, tickets, calls, tasks, events, time entries, and contracts are moved to the Recycle Bin alongside it [1]. You have two choices from there: restore everything or wipe it permanently.


Step 5. Navigate to Setup, then under Data Administration, select Recycle Bin [1].


Step 6. Use the drop-down at the top bar to filter the view and locate the account you just deleted [1].


Step 7. Select the account record, then click either Restore or Delete from the upper-right corner of the page [1].


Step 8. Click Proceed to confirm your choice [1].

Common pitfalls


  • Contact dissociation: When an account is deleted, it becomes dissociated from all linked contacts. If the deleted account was marked as the *primary* account for a contact, Zoho Desk will automatically promote one of that contact's secondary accounts to primary instead [1].

  • Contacts with no other account: Any contact that was *only* associated with the deleted account will also be deleted and moved to the Recycle Bin — they are not left as orphaned records [1]. Review your contacts before deleting an account if you want to preserve them.

  • Permanent deletion is irreversible: Once you choose to permanently delete from the Recycle Bin and confirm with Proceed, the account and its associated data cannot be recovered [1]. Take extra care at that final step.

What to check


  • Verify contact status — after deletion, confirm that contacts previously linked to this account either appear in the Recycle Bin (if they had no other account) or have been correctly reassigned to a new primary account [1].
