How to update a note in Zoho CRM

Modify note content and details on any CRM record.

Updating a note in Zoho CRM lets you keep customer interactions and deal details current. Whether you're refining discussion points, adding follow-up reminders, or correcting details, the process is straightforward and syncs across your devices.


Why this matters


Sales teams capture critical information during customer conversations—meeting notes, deal specifics, action items, and observations about prospects. As situations evolve, you need to revise those notes without losing context. Keeping notes accurate and up-to-date ensures your team has reliable reference material for future interactions and better reporting.


Step-by-step


Step 1. Open the record and access the Notes panel.


Navigate to the CRM module (Leads, Contacts, Deals, or Accounts) and select the record you want to update. Look for the Notes badge in the list view or open the record's detail page. Click the Notes badge to slide open the Notes panel on the right side of your screen, which displays all notes tied to that record.[5]


Step 2. Locate the note you want to edit.


Scan the Notes panel for the note you need to update. Notes are listed with timestamps and any associated details. If you have many notes, review them carefully to find the correct one before making changes.


Step 3. Edit the note content.


Click on the note to open it for editing. Update the text, add new information, correct details, or remove outdated content as needed. The note editor allows you to modify the body of the note directly within the panel.


Step 4. Save your changes.


After you finish editing, save the note. Your changes are automatically stored in Zoho Notebook (if the note was created under My Notes) or remain within the CRM extension (if it was created under a CRM module or CRM Notes).[^1,2]


Step 5. Verify sync across devices.


Zoho Notebook automatically synchronizes notes across all devices where you are signed in.[2] If you access Zoho CRM from your phone, tablet, or desktop, the updated note will appear consistently on each device within a few moments.


Common pitfalls


Notes created under CRM modules or CRM Notes are available only within the CRM extension and cannot be accessed from the standalone Zoho Notebook app.[2] If you need to access a note outside of CRM, create it under the My Notes section instead, which syncs to the web, desktop, and mobile versions of Zoho Notebook.


If you uninstall the Zoho Notebook extension, it will no longer be available in your CRM interface, though your notes remain stored in Zoho Notebook itself.[2]


What to check


  • Confirm the note appears with your updated content in the Notes panel immediately after saving.
  • Open the same record on another device (phone or different browser) to verify the change has synced.
  • If using templated notes, ensure any dynamic merge tags or teammate tags are still accurate after your edits.[3]
