How to retrieve ZIA enrichment data in Zoho CRM

Get AI-powered enrichment insights for any record.

Zia Data Enrichment in Zoho CRM automatically pulls publicly available company details — such as size, revenue, social profiles, and contact information — into your CRM records using just a few seed fields. Here at Beam Help (independent expert support for Zoho, not official Zoho support), we walk you through exactly how to enable, configure, and monitor this feature.

Why this matters

Sales and marketing teams often waste hours switching between Zoho CRM and external sources like LinkedIn or Google just to fill in basic account details. Incomplete records lead to poorly targeted outreach and missed revenue opportunities. [8] Zia Data Enrichment solves this by acting as an always-on AI analyst that enriches records automatically, freeing your team to focus on closing deals rather than data entry. [1]

Step-by-step

Step 1. Confirm eligibility.

Zia Data Enrichment is available on all paid editions of Zoho CRM. Only users whose Profile has the *View results* permission enabled can trigger enrichment on individual records, while only CRM Administrators can access the full enrichment history. [3]

Step 2. Navigate to the Data Enrichment settings.

Log in to Zoho CRM as an Administrator, then go to Setup > Zia > Data Enrichment. This is the central hub for enabling, configuring, and monitoring the feature. [2]

Step 3. Activate the feature.

On the Data Enrichment page, click Get Started to switch the feature on for your organisation. Once activated, Zia begins scanning publicly available data sources to supplement records across your chosen modules. [3]

Step 4. Map your data fields.

After activation, you will be prompted to configure field mapping. Zia retrieves data using standardised labels (for example, "Designation") that may differ from what your CRM fields are called (for example, "Title"). Use the mapping interface to align each incoming data point with the correct CRM field — including any Custom Fields your team has created. If you want to protect a particular field from being overwritten, simply set its mapping to None. [3]

Step 5. Extend enrichment to custom modules if needed.

The feature is not limited to the standard Accounts or Contacts modules. You can create a fresh configuration for any custom module — such as a Vendor Evaluation or Partner module — by setting up a new mapping profile for that module within the same Setup > Zia > Data Enrichment area. [2]

Step 6. Trigger enrichment on a record.

Once configured, open any qualifying record (for example, an Account). With only basic seed information present — company name, website, or email address — Zia will surface enriched data including company size, revenue figures, phone numbers, social media profiles, a short company description, product categories, and even the company logo. [1] [3]

Step 7. Handle bulk enrichment requirements.

The standard interface processes one record at a time to maintain accuracy. For large-scale enrichment across many records, combine Zoho CRM Workflows with the API or explore available upgrade options to automate processing across a larger dataset. [4]

Step 8. Review enrichment history and usage.

Navigate to Setup > Zia > Data Enrichment > History to access the audit log. This log shows which user triggered each enrichment, which record was affected, when the action occurred, and exactly which fields were updated by Zia versus entered manually. [2] [4]

Step 9. Monitor your enrichment quota.

Each Zoho CRM edition includes a monthly enrichment allowance. Under the Enrichment Usage section, pie charts and trend charts display how many enrichment credits have been consumed, the average usage rate, and which modules are using the most credits. Use this data to pace usage or decide whether an edition upgrade is warranted. [4]

Common pitfalls

  • Overwriting carefully curated data. If a field already contains accurate, manually verified information, leaving its mapping set to an active field means Zia could overwrite it. Set sensitive fields to None in the mapping configuration to prevent unintended changes. [3]
  • Insufficient permissions blocking enrichment. If a sales rep reports they cannot enrich a record, the most likely cause is that their Profile does not have the *View results* permission enabled. An Administrator must update the Profile settings before that user can proceed. [3]
  • Assuming bulk enrichment works out of the box. The default UI is designed for single-record enrichment. Expecting it to process hundreds of records simultaneously without Workflow or API configuration will lead to frustration. Plan your bulk strategy before rolling out to the wider team. [4]
  • Confusing AI-filled data with manually entered data. Without checking the History log, teams may not know which fields were populated by Zia. Always use Setup > Zia > Data Enrichment > History to audit changes and maintain data governance. [2]

What to check

  • Field mapping is complete and intentional — confirm every field is either mapped to the correct CRM field or explicitly set to *None* to protect existing data. [3]
  • User Profiles have the correct permissions — verify that all team members who need to enrich records have the *View results* permission active in their Profile settings. [3]
  • Monthly usage is within quota — review the Enrichment Usage charts regularly to ensure your team's consumption rate aligns with your current edition's allowance and adjust workflows or upgrade if you are approaching the limit. [4]
