How to retrieve solutions in Zoho CRM


Solutions in Zoho CRM are reusable knowledge base articles that help your team resolve customer issues faster. You can access and search existing solutions directly from the Solutions module or link them to cases for quick reference.

Step-by-step


Step 1. Navigate to the Solutions module.


Open Zoho CRM and locate the Solutions module in your sidebar. This module stores all your organization's knowledge base articles, also called solutions, articles, or frequently asked questions. [8]


Step 2. Review the standard fields to understand what you're searching.


Familiarize yourself with the key fields in each solution record. Solutions contain a Solution Title (the subject), a Question field (the problem being addressed), an Answer field (the resolution), a Status field (whether it's active or draft), and a Product Name field (which product or service the solution applies to). Step 3. Use the search or filter options to find relevant solutions.


Look for solutions by entering keywords in the search bar or by filtering by Product Name, Status, or Solution Owner. If you're linking a solution to a case, Zoho CRM will often suggest matching solutions based on the case subject or description. [8]


Step 4. Review the solution details before applying.


Click on a solution record to view its full content, including the Question, Answer, and any associated metadata. Confirm that the solution matches the customer's issue before using it. [8]

Ensure you have the necessary permissions to view solutions. Users must have View permission in the Solutions module to retrieve and read solutions; Create, Edit, and Delete permissions are required only if you're adding or modifying solutions. Common pitfalls


The Solutions module is most effective when your organization maintains consistent, well-written Question and Answer fields. If solutions are incomplete or poorly categorized, your team will struggle to find the right one.
