How to retrieve send mail config settings in Zoho CRM

Access email configuration for your CRM organization.

Zoho CRM stores email configuration settings across multiple areas depending on whether you're setting up individual sender addresses, integrating external mailboxes, or configuring mass email relays. This guide shows you where to find and review these settings.

Why this matters

Email configuration in Zoho CRM controls how messages are sent, who they appear to come from, and which mailboxes sync with your account. Retrieving these settings helps you verify sender addresses are correct, confirm integrations are active, troubleshoot delivery issues, and ensure compliance with your organization's email policies. Administrators and users often need to audit these settings when onboarding new team members or switching email providers.

Step-by-step

Step 1. Access email configuration from Setup.

Log into Zoho CRM and navigate to Setup > Channels > Email > Email Configuration. This is the central hub where compose settings, signatures, and relay configurations live. From here you can review how outgoing emails are formatted and which sender addresses are available [4].

Step 2. Review custom "From" addresses.

In the Email Configuration area, check which custom sender addresses have been added to your account. You can add alternative email addresses as "Custom From" addresses; when you do, Zoho sends a verification code to that account. Once verified, the address appears in the Composer dropdown when you draft emails [1]. This setting is useful if your team sends mail from department or role-based addresses rather than personal inboxes.

Step 3. Check email integration settings for external mailboxes.

If your organization uses POP3, IMAP, or Gmail API integrations, navigate to the email integration section within Email Configuration. Zoho CRM Standard edition now supports email integration via these protocols to sync customer communications into your account [3]. Verify which mailboxes are connected and confirm the protocol type (POP3, IMAP, or Gmail API) matches your mail provider's requirements.

Step 4. Confirm incoming and outgoing server details if using SMTP relay.

For mass email sending via your own SMTP server, check the email relay settings. You will need to provide your SMTP server name and port number. Common providers like Gmail, Hotmail, and AOL have standard configurations: Gmail uses smtp.gmail.com on port 465 with SSL enabled, while Hotmail uses smtp.live.com on port 25 [7]. Verify these match your mail provider's current specifications, as server details can change.

Step 5. Review reply-to and sender name settings.

In Email Configuration, confirm the sender name and reply-to address are set correctly. The sender name should be recognizable to recipients to improve engagement, and the reply-to address should direct responses to the intended inbox [5]. If you're using mass email features, these settings apply across all outgoing campaigns.

Step 6. Check MailMagnet and email sharing policies (if applicable).

If your account has the Q2 2025 update or later, review whether MailMagnet (a notification panel for incoming emails) is enabled and whether email sharing rules have been configured [3]. These settings control how emails are tracked and shared across your team.

Step 7. Verify Zoho Mail add-on user settings if applicable.

If your organization uses Zoho Mail add-on users, administrators can manage these accounts and configure backup and lock/unlock options within Setup. This ensures deactivated users' email conversations remain accessible to other sales reps [3].

Common pitfalls

Avoid using group email addresses (info@, admin@, support@) as sender addresses, as these are more likely to be flagged as spam by recipient mail servers [5]. If you're setting up external POP3 accounts, note that IMAP access is not supported for external accounts in Zoho Mail, so confirm your provider supports POP3 before configuring [6]. When using SMTP relay for mass emails, ensure your outgoing mail server requires authentication and that you've entered the correct port number—mismatched ports are a common cause of delivery failures [7].

What to check

  • Confirm all custom "From" addresses in your account have been verified and match your organization's approved sender list.
  • Verify that any external mailbox integrations (POP3, IMAP, or Gmail API) show a "connected" or "active" status and are syncing recent emails.
  • Review the sender name and reply-to address to ensure they reflect your brand or department correctly and that replies route to the right inbox.
