How to retrieve layout rules in Zoho CRM

Fetch conditional layout rules for a module.

Layout rules in Zoho CRM let you control how fields behave and relate to one another within a record layout — and knowing how to locate and review those rules is essential for any admin managing a complex CRM setup.

Why this matters

When your sales process relies on conditional field visibility or mandatory field logic, layout rules are the engine driving that behaviour. If a rule is misconfigured, your team may see incorrect fields, miss required data, or encounter unexpected behaviour when creating records. Understanding where to find and review existing layout rules helps you audit, troubleshoot, and refine your CRM configuration confidently. As independent expert support (not official Zoho support), Beam Help walks you through the process below.

Step-by-step

Step 1. Log in to your Zoho CRM account with administrator privileges. Only users with the appropriate admin profile can access layout and customisation settings.

Step 2. Navigate to the Setup area. You can typically reach this by clicking the gear icon in the top-right corner of your Zoho CRM interface. [1]

Step 3. Within Setup, go to Modules and Fields. This section houses all page layout configurations for every module in your CRM account. [1]

Step 4. Select the specific module whose layout rules you want to review — for example, Leads, Contacts, Deals, or any custom module your organisation uses. [1]

Step 5. Inside the module settings, locate the Page Layouts option. You will see a list of all layouts configured for that module. Click on the layout you want to inspect. [1]

Step 6. Once inside the layout editor, look for the Layout Rules section or tab. This is where all conditional rules governing field dependencies are stored and managed. Zoho CRM's layout rules interface is specifically designed to help you manage dependencies between fields within a given layout. [1]

Step 7. Review the list of rules displayed. Each rule will show you the trigger condition (the primary field and its value) along with the resulting actions — such as showing or hiding fields, or marking fields as mandatory. [1]

Step 8. Click on any individual rule to expand its details and inspect the full logic, including all conditions and the fields affected by each outcome. [1]

Common pitfalls

  • Rules don't apply to all update methods. Layout rules take effect when a record is created or edited manually through the CRM interface. However, if a field involved in a layout rule is updated via a workflow action or through an API call, that field update will take precedence over the layout rule logic. This is a known exception and can cause confusion when troubleshooting data inconsistencies. [1]

  • Existing records and new layouts. If you are reviewing layout rules on a layout that was recently created, keep in mind that any records existing before the layout was set up will have been assigned to the Standard layout of that module — not the new layout. This means layout rules on the new layout would not have applied to those older records. [1]

  • Module-specific scope. Layout rules are configured per layout, per module. If you are looking for rules affecting a specific field and cannot find them, make sure you are checking the correct layout within the correct module — rules do not carry across layouts or modules. [1]

What to check

  • Confirm the correct layout is selected — verify that the layout you are reviewing is actually the one assigned to the user profiles or record types you are troubleshooting.
  • Cross-reference rule conditions against live field values — after locating a rule, test it by creating a sample record and confirming the expected fields appear, hide, or become mandatory as the rule dictates. [1]
  • Check for API or workflow overrides — if a layout rule does not seem to be working as expected, verify whether any workflow field updates or API integrations are modifying the relevant trigger fields, since these will bypass layout rule logic. [1]
