How to retrieve email status in Zoho CRM

Check the delivery and open status of emails sent from a record.

Retrieving email status in Zoho CRM means understanding whether your outgoing emails are being delivered, tracked, and correctly associated with CRM records — and ensuring the underlying email data in your system is clean and actionable.

Why this matters

When email status signals are missing or incorrect in Zoho CRM, automation workflows that depend on email activity can misfire, labelling active prospects as cold or inactive. [3] Segments built on faulty email data send campaigns to the wrong groups, and personalisation loses its effectiveness entirely. [3] Keeping a clear view of email status is therefore foundational to reliable sales and marketing operations — and as independent expert support (not official Zoho support), Beam Help sees this issue surface regularly across CRM accounts of all sizes.

Step-by-step

Step 1. Connect your mailbox to Zoho CRM.

Before you can track any email status, your mailbox must be integrated. Zoho CRM supports connection via POP3, IMAP, or Gmail APIs, allowing all customer communications to flow into a single CRM view. [2] Navigate to your email settings and complete the integration for the account you want to monitor.

Step 2. Use MailMagnet to monitor incoming email status.

Once your mailbox is connected, the MailMagnet panel gives you a consolidated notification view of all incoming email communications alongside key business context. [2] Rather than navigating to each individual record, you can view, understand, and prioritise responses directly from this dedicated panel — making it straightforward to spot which emails have been received and which require action. [2]

Step 3. Check email status at the record level via the Related List.

For outgoing emails, the sent email status is visible from the Related List section of the relevant record. [6] Open the Lead, Contact, or Deal record in question, scroll to the Related List, and review the email entries logged there. This is the primary place to confirm whether a specific email was sent and recorded against that record.

Step 4. Link emails to specific deals for deal-level tracking.

If you need to track email status within the context of a particular deal, use Zoho CRM's email deal-linking feature. Emails can be linked to specific deals either automatically through prediction patterns or manually from the Deals or Contacts modules. [2] This makes it far easier to follow deal-specific conversation threads and confirm which communications have taken place at each stage.

Step 5. Authenticate your sending domain to protect deliverability status.

A common reason email status appears broken or incomplete is failed delivery caused by unauthenticated domains. Go to Setup > General > Email Settings > Email Authentication to add and authenticate your email domain(s). [6] This is a one-time action that protects your sender reputation and ensures delivery signals are accurately reflected in CRM records.

Step 6. Configure Email Relay if routing through your own server.

If your organisation routes outgoing mail through its own infrastructure, set up Email Relay so messages travel via your relay server before reaching recipients. Navigate to Setup > General > Email Settings > Email Relay and enter your server details. [6] Once configured, the delivery path becomes: Zoho CRM → Relay server → Recipient, and status tracking remains intact throughout. [6]

Step 7. Audit and verify the email addresses in your database.

Even with perfect configuration, email status will be unreliable if the underlying contact data contains invalid, outdated, or risky addresses. Run your full contact list through an email verification process that sorts addresses into categories such as valid, invalid, temporary, role-based, gibberish, and risky. [3] This first pass reveals the true health of your Zoho CRM data and surfaces addresses that will never return a meaningful delivery status. [3]

Step 8. Protect entry points to prevent future data decay.

Going forward, ensure new emails are validated before they enter the system. When leads arrive through forms, the email address should be checked before the record is saved; when a sales representative adds a contact manually, typing errors should be caught immediately; and when lists are uploaded, each address should be screened. [3] Marketplace extensions such as the Clearout Email Verifier for Zoho CRM can automate this process, reducing bounce rates and maintaining a cleaner sender reputation over time. [5]

Common pitfalls

  • IMAP filter conflicts after relay changes. Switching to Email Relay can affect any IMAP-based filters you have configured in your inbox. [6] Review and update those filters after completing the relay setup to avoid missing or misfiled emails.
  • Automation gaps from bad email data. Zoho CRM triggers flows based on email activity signals. Invalid addresses block those signals entirely, causing contacts to be incorrectly labelled as inactive and dropping them out of nurture journeys. [3] Verification must be treated as an ongoing process, not a one-time fix.
  • Email sharing settings affecting visibility. If team members cannot see email status on shared records, check your email sharing configuration. Zoho CRM allows administrators to define precisely how emails sent through the platform are shared across teams and the wider organisation. [2]

What to check

  • Confirm your sending domain is authenticated under Setup > General > Email Settings > Email Authentication and that no domain warnings are present. [6]
  • Open a sample Contact or Deal record and verify that sent emails appear correctly in the Related List section with the expected status entries. [6]
  • Review your email verification coverage to ensure new records entering via forms, manual entry, and list uploads are all being screened before saving. [3]
