How to get related records in Zoho CRM

Retrieve linked records from related modules.

Zoho CRM gives you several ways to surface related record data — from classic related lists to the newer Mirror Component that reflects live field values from linked records directly on the page you're already viewing.


Why this matters


Sales reps, support agents, and operations teams constantly need context from connected records: a deal's linked contact phone number, a contact's associated account status, or field-service transactions tied to an account. Jumping between modules breaks focus and slows response times. Knowing which method to use — and how to configure it — keeps your team working in one place and acting on accurate, up-to-date information.

Step-by-step


Option A — Use the Mirror Component (real-time field reflection)


Step 1. Understand what the Mirror Component does. It acts as a live window into a related record, displaying chosen fields from that linked record directly inside the parent record's detail page — no navigation required. For example, a sales rep viewing a Deal can see the linked Contact's phone number or email address without ever leaving the Deal record. [1]


Step 2. Check data centre eligibility. As of the latest release, the Mirror Component is available for the JP, CA, SA, UAE, and AU data centres. If your org is on a different DC, monitor the Zoho CRM release notes for a rollout to your region. [1]


Step 3. Open the record layout editor for the module where you want to display mirrored data (for example, Deals). In Zoho CRM, navigate to Setup → Customization → Modules and Fields, select your target module, and open the layout you want to edit. [1]


Step 4. Locate the Mirror Component option in the layout editor's component panel. Drag it onto the canvas in the position where you want the reflected fields to appear on the detail page. [1]


Step 5. Configure the component by selecting the related (lookup) module — for instance, Contacts — and then choosing the specific fields you want to mirror, such as phone number, email, or any other field from that related record. [1]


Step 6. Save and publish the layout. When a user opens a Deal record, the Mirror Component will display the current values from the linked Contact in real time, always reflecting the latest data without requiring a manual refresh. [1]

Option B — View related records via Related Lists


Step 1. Open any record in Zoho CRM (for example, an Account). Scroll down past the record's fields to find the Related Lists section. This area shows sub-panels for linked modules such as Contacts, Deals, Cases, and Activities associated with that record. [6]


Step 2. Within each Account or Contact record, you can view associated transactions and activities — for example, if you have Zoho FSM integrated, Requests, Estimates, Work Orders, and Service Appointments created for that record will all be listed here, giving you a comprehensive operational view without leaving the CRM record. Step 3. To control which fields appear in a related list on the mobile app, navigate to the related list settings for that module. Community feedback confirms that field visibility in mobile-app related lists can be adjusted, though the exact path depends on your layout configuration. [7]

Option C — Link records across integrated products


Step 1. If you use Zoho FSM alongside Zoho CRM, install the Zoho FSM extension for CRM. Once active, you can view FSM transactions (Requests, Estimates, Work Orders, Service Appointments) directly within Account and Contact records in Zoho CRM, providing a unified customer history from lead to close. Step 2. For each Account or Contact, click the Zoho FSM tab within the CRM record to see all linked field-service activity. You can also create new FSM records (Requests, Estimates, Work Orders) directly from within CRM without switching applications. [6]

Common pitfalls


  • Mirror Component not visible in your DC. The feature launched for specific data centres first (JP, CA, SA, UAE, AU). If you don't see the component in your layout editor, your DC may not yet have the rollout. [1]
  • Lookup field ≠ Mirror Component. A standard lookup field shows only the record name/ID of the related record. It cannot surface additional fields like phone or email from that related record. The Mirror Component was built specifically to close this gap. [1]
  • Related list fields missing on mobile. Notes and Attachments, as well as custom related list fields, may display differently on desktop versus tablet or mobile. If fields visible on desktop are absent on mobile, check the mobile layout configuration separately. [7]
  • FSM integration errors when linking contacts. When creating FSM records from within CRM, the Contact you select must already be associated with the correct Company in Zoho FSM. Mismatched associations will trigger a linking error. [4]

What to check


  • DC eligibility: Confirm your Zoho CRM organisation's data centre matches one of the supported regions before investing time configuring the Mirror Component. [1]
  • Layout published: After adding and configuring the Mirror Component, verify the layout has been saved *and* published — unpublished layouts won't reflect changes for end users. [1]
  • Related list permissions: Ensure the user profiles that need to see related records have the appropriate module-level read permissions; hidden modules won't appear in related lists regardless of layout settings. [6]
