How to retrieve deleted records in Zoho

Access and recover records that have been deleted.

Deleted records in Zoho CRM move to the Recycle Bin, where you have 60 days to restore them before they're permanently removed. After that window closes, recovery becomes impossible unless you've used a monthly backup.


Why this matters


Accidental deletions happen. A user might remove a contact, account, or deal by mistake, or a bulk operation could wipe records unintentionally. Knowing how to retrieve them quickly minimizes data loss and keeps your sales pipeline intact. Once the 60-day window passes or an admin purges the Recycle Bin manually, those records are gone for good.


Step-by-step


Step 1. Navigate to the Recycle Bin.


Log into Zoho CRM and go to Setup > Data Administration > Recycle Bin.[1] This is where all deleted records are held.


Step 2. Locate the records you need.


Browse the list or use the filter icon to narrow results by record type (Accounts, Contacts, Leads, etc.).[2] If you deleted many records, filtering by type saves time. You can also search by the name of the deleted record or the person who deleted it (shown in the "Deleted By" column).[2]


Step 3. Select the records to restore.


Check the boxes next to the records you want to recover. You can select multiple records at once.[1]


Step 4. Click Restore.


Once selected, click the Restore button. A confirmation dialog will appear.[4]


Step 5. Confirm the restoration.


Click Proceed to finalize the restore.[4] The records will return to their original modules.


Important: If you restore a parent record (like a Lead or Account), all associated items—notes, tasks, emails, and attachments—will also be restored, even if they appear separately in the Recycle Bin.[2]


Common pitfalls


The 60-day limit is hard. Records deleted more than 60 days ago are permanently gone and cannot be recovered from the Recycle Bin.[2] If you've exhausted your monthly backups, there's no other recovery path.


Permanent deletion from the Recycle Bin is irreversible. If an admin manually deletes records from the Recycle Bin itself, they cannot be restored.[1] This is a second deletion point—treat it carefully.


Related items clutter the Recycle Bin. When you delete a parent record, all its child records (attachments, notes, tasks, emails) move to the Recycle Bin under the deleter's name, even if you didn't delete them directly.[2] This can make the bin look fuller than expected. Restoring the parent record restores everything attached to it.


Bulk API deletions also use the Recycle Bin. If you've run a bulk delete via Deluge or the CRM API, those records land in the Recycle Bin first and follow the same 60-day retention rule.[7]


What to check


  • Confirm the restored records appear in their original modules (Accounts, Contacts, Leads, etc.) and that all linked data (notes, tasks, attachments) came back intact.
  • Verify the record details are correct and no data was lost during the deletion or restoration.
  • If records are not in the Recycle Bin, check the Audit Log to confirm they were deleted and when; if deletion was more than 60 days ago, contact Beam Help or Zoho support about backup recovery options (note: this is independent expert support, not official Zoho support).
