How to Get Analytics in Zoho CRM

Retrieve analytics data to gain insights into your CRM performance.

Connecting Zoho CRM to Zoho Analytics gives you real-time sales dashboards, prebuilt reports, and AI-powered insights drawn directly from your CRM data — all without writing a single line of code.

Why this matters

Sales managers and RevOps teams often need visibility beyond what Zoho CRM's native reports offer — pipeline trends over time, cross-module analysis, or executive-ready dashboards. Zoho Analytics acts as a dedicated BI layer on top of your CRM data, and the two products are designed to work together natively. Real-time synchronisation means that the moment a deal changes in Zoho CRM, those updates flow straight into your analytics workspace. [2]

Step-by-step

Step 1. Make sure you have active accounts for both Zoho CRM and Zoho Analytics. Zoho Analytics is a self-service BI and data analytics platform that lets you build visualisations and uncover insights quickly — it is separate from the reports module inside Zoho CRM itself. [8]

Step 2. Log in to your Zoho Analytics account and navigate to the Home screen. Click + New Workspace (or open an existing workspace where you want your CRM data to live). [4]

Step 3. Inside the workspace, choose Import Data and then select From Zoho Apps from the source list. Zoho Analytics supports a dedicated Zoho CRM connector under its Sales Analytics category, which handles the connection natively. [4]

Step 4. Select Zoho CRM from the connector list. You will be prompted to authorise the connection using your Zoho credentials. Once authorised, choose the CRM modules you want to import — for example, Leads, Contacts, Deals, Activities, and so on. You can also select specific fields within each module rather than pulling everything across. [4]

Step 5. Configure your sync schedule. Zoho Analytics supports real-time synchronisation for Zoho CRM, meaning the latest record changes are pushed into your Analytics workspace as they happen, keeping your sales insights current. [2]

Step 6. Once the initial data import completes, Zoho Analytics will auto-generate a set of prebuilt reports and dashboards based on your CRM data. These give you an immediate starting point for pipeline analysis, lead conversion tracking, and sales performance metrics. [4]

Step 7. To go deeper, use the Ask Zia conversational AI feature. Type a plain-language question about your sales data and Zia will respond with an appropriate chart or report within moments. [7]

Step 8. Share your dashboards with colleagues or embed them in presentations. Zoho Analytics lets you export reports in formats including CSV, Excel, PDF, HTML, and image files, and you can also email dashboards on a schedule. [3] For broader distribution, you can publish reports as a web portal (microsite) for users across your organisation. [7]

Common pitfalls

  • Module selection at setup time matters. If you skip a CRM module during the initial connector setup, that data will not appear in your workspace. You can add modules later, but it requires re-configuring the connector sync settings — plan your module list carefully before the first import. [4]

  • Real-time sync is a feature, not the default everywhere. Real-time CRM synchronisation is a highlighted capability of the Zoho Analytics connector, but confirm it is enabled in your sync settings rather than assuming a scheduled interval is sufficient for your use case. [2]

  • Permissions must align. The Zoho account used to authorise the connector needs read access to every CRM module you intend to analyse. If a module is restricted by CRM profile settings, the sync will either fail silently or import incomplete data. [4]

  • On-premise vs. cloud. If your organisation runs Zoho Analytics on-premise, the connector catalogue may differ from the cloud version. Verify that the Zoho CRM connector is available in your on-premise deployment before planning your rollout. [3]

What to check

  • Sync status: After setup, confirm the connector shows a successful sync in the workspace's data connector history, and that record counts in Analytics match what you expect from Zoho CRM. [2]
  • Report accuracy: Open one of the auto-generated dashboards and cross-reference a key metric (e.g., total open deals) against the same figure inside Zoho CRM to validate data fidelity. [4]
  • User access: Ensure the colleagues who need the dashboards have been granted the correct sharing permissions inside Zoho Analytics, so they can view or collaborate without needing full admin rights. [3]
