How to Export Zoho CRM Contacts to Contracts Counterparties

Lede: This article shows how to get contacts from Zoho CRM into Zoho Contracts as counterparties or counterparty contacts, using the CRM-to-Contracts field mapping and module selection options explained below. Beam Help — independent expert support for Zoho, not official Zoho support.[2]

Why this matters

If you need contracts tied to the correct customer records, sending CRM contacts into Zoho Contracts avoids manual re-entry and ensures contract documents receive the right contact and account values.[2] Mapping CRM fields into Contracts also lets contract templates auto-populate contact name, email, and other values when a contract is requested from a CRM module.[2]

Step-by-step

Step 1. Confirm the CRM integration options you will use. Choose whether counterparties should come from an Account field or a Contact field in a CRM module; for B2B use the Account Name field, and for B2C use the Contact Name field in the Deals module as possible counterparty sources.[2]

Step 2. Open Zoho Contracts field mapping for CRM modules. Use Zoho Contracts’ Field Mapping feature to map CRM module fields into Contracts’ counterparty, counterparty contact, and document fields so values flow when contracts are created from CRM modules.[2]

Step 3. Map counterparty and contact fields from the relevant CRM module. In the Field Mapping settings, select the CRM fields you want to populate Zoho Contracts’ Counterparty and Counterparty Contact fields so that Contact Name and Contact Email Address (for example) transfer when requesting a contract from Accounts or Deals.[2]

Step 4. Use condition-based selection if you have both B2B and B2C customers. If you serve both types, configure the Condition-Based option so counterparties are chosen based on conditions, and make sure document field mapping follows the same conditions.[2]

Step 5. Request a contract from the CRM module after mapping is active. When you request a contract from the Accounts module or Deals module, the mapped Contact and Account fields will be used to populate the counterparty and contact details in Zoho Contracts.[2]

Step 6. Test with a sample record to verify mapped values appear in Contracts. Create or pick a CRM record with the expected Account and Contact values and request a contract; confirm the Counterparty and Counterparty Contact fields in the resulting Contracts record show the mapped data.[2]

Step 7. For advanced integrations, use the Zoho Contracts API collection on Postman to inspect or automate counterparties. The official Zoho Contracts Postman collection contains ready requests for Contracts and Counterparties that can help test and debug API flows without writing code.[3]

Common pitfalls

  • Mapping mismatch: some CRM field types (for example, certain country or lookup fields) may not map to template fields due to type mismatch; verify field types during mapping.[7]
  • Single-contact form limitation: requesting a contract directly from some CRM forms may expose only a single Contact selection by design, so ensure your mapping accounts for which contact the request should use.[1]

What to check

  • Confirm the Account Name or Contact Name field is selected as the counterparty source for the CRM module you will request contracts from.[2]
  • Verify your Field Mapping entries include the Counterparty Contact fields you need (Contact Name, Contact Email Address, etc.) and that the mapping conditions match your B2B/B2C logic.[2]
  • Test a full request flow from CRM to Contracts and open the contract record to ensure counterparty and contact fields populated as expected.[2][3]
