How to delete attachments in Zoho CRM

Remove file attachments from CRM records and notes.

Deleting attachments in Zoho CRM is done on a per-file basis directly within each record — as of the time of writing, no native bulk-delete option exists in the standard CRM interface.

Why this matters

Attachments such as marketing collateral, sales quotes, invoices, and SLA documents can accumulate quickly across CRM modules, consuming your organisation's storage allowance.[4] Knowing how to remove individual files promptly keeps your account tidy and prevents you from hitting storage limits.[1] Teams managing high volumes of records often discover this limitation only after storage is already full, making a clear process essential.

Step-by-step

Step 1. Navigate to the relevant module in Zoho CRM — for example, Leads, Contacts, Accounts, or Deals — and open the specific record that contains the attachment you want to remove.[4]

Step 2. Inside the record, locate the attachment field. Click either the + icon or the expand icon associated with that field to reveal all files currently attached to the record.[3]

Step 3. Hover your cursor over the specific file you wish to remove. A set of action icons will appear overlaid on the file thumbnail.[3]

Step 4. Click the delete icon that appears on hover. The file will be removed from the record immediately.[3]

Step 5. Repeat Steps 1–4 for each additional attachment across other records. Because Zoho CRM's built-in interface handles deletions one file at a time, working through a list of records systematically is currently the supported approach for clearing multiple attachments.[1]

Common pitfalls

  • No native bulk-delete tool: The Zoho CRM community has flagged that there is no out-of-the-box bulk attachment deletion feature, meaning teams with full storage must work through records individually or explore API-based scripting solutions.[1] We at Beam Help — independent expert support for Zoho, not official Zoho support — can assist with custom automation approaches if the manual process is unworkable at scale.

  • Attachment field vs. Notes section: Zoho CRM stores files in two places — the dedicated attachment field on a record and files embedded within Notes. Make sure you check both areas if you are trying to free up storage, as the delete workflow described above applies specifically to the attachment field.[4]

  • File size limits apply on upload, not deletion: Each file uploaded to a record's attachment field can be up to 50 MB in size.[3] While this limit does not affect deletion, it explains why even a modest number of attachments can exhaust storage quickly.

  • Permissions required: You must have the appropriate Create/Edit permissions for the module and its related records to interact with attachments. If the delete icon does not appear on hover, check with your CRM administrator that your profile has the necessary access rights.[4]

What to check

  • Confirm the file is gone: After clicking the delete icon, re-open the expand panel on the same record to verify the attachment no longer appears in the list.[3]
  • Review storage usage: After removing a batch of attachments, check your organisation's storage dashboard in Zoho CRM settings to confirm the freed space is reflected.
  • Check Notes for additional files: Visit the Notes section of the same records to ensure no duplicate or related files are still stored there, as those would need to be deleted separately.[4]
