How to create currencies in Zoho CRM

Add and configure multiple currencies for international transactions.

Creating currencies in Zoho CRM enables your organisation to manage deals, quotes, and invoices in multiple local currencies while automatically converting values back to your home currency for reporting and forecasting.


Why this matters


Businesses operating across regions need accurate, up-to-date currency data to produce reliable revenue forecasts and financial reports. Without a properly configured multi-currency setup, deal values and pipeline analysis can become inconsistent and difficult to audit. Zoho CRM's multi-currency feature lets you record transactions in a customer's local currency and have those values automatically converted to your base currency. [1]

Step-by-step


Step 1. Confirm your base currency is correct before adding others.


Your base (home) currency is set during initial CRM setup and is tied to your organisation's country selection. Be aware that once the base currency is configured, changing it later is not straightforward — the country field can become greyed out after initial setup, so verify this setting carefully before proceeding. Step 2. Navigate to the Currency settings in Zoho CRM.


From your CRM account, go to Setup → Company Settings → Currencies. This is where you manage all active currencies for your organisation, including exchange rates and update preferences.


Step 3. Add a new currency.


Click Add Currency (or the equivalent + button in the Currencies list). Select the currency from the dropdown, confirm the currency symbol, and set the initial exchange rate relative to your base currency. New transactions — including deals, quotes, sales orders, and invoices — will use this rate for conversion. [2]


Step 4. Choose how the exchange rate will be maintained.


Zoho CRM now offers two approaches to keeping rates current: [1]


  • Automatic: The system pulls live data from Open Exchange Rates and updates the rate on your chosen schedule. You can select either a Live refresh (every 30 minutes) or a Daily refresh (once per day at a time you specify, based on your organisation's time zone).
  • Manual: An administrator or a permitted user updates the rate themselves. To allow non-admin users to do this, grant them the "Update Exchange Rate" permission, which surfaces an Update icon next to the exchange rate field on records.

Step 5. Configure automatic record-level exchange rate updates (optional but recommended).


Beyond updating the currency master rate, you can also define triggers that refresh the exchange rate stored on individual records. Supported triggers include editing a record, changing a picklist/select field, or changing a field to a specific value — for example, automatically refreshing the rate when a deal moves to a new pipeline stage. Step 6. Review the exchange rate history graph.


Each configured currency now displays a historical rate chart showing how it has moved against your base currency. You can filter by predefined date ranges or a custom period, and the view surfaces the highest, lowest, and average rates within that window — useful for audits and trend analysis. [1]


Step 7. Consider a Marketplace extension for fully automated daily syncs.


If you want a zero-touch approach, the Plug&Play Currency Sync extension on Zoho Marketplace automatically retrieves the latest rates between your base currency and all configured foreign currencies on a daily overnight schedule. Administrators can also trigger up to two additional manual syncs per day when needed. Existing records remain unchanged unless a currency update is explicitly applied, preserving historical accuracy. [2][3]

Common pitfalls


  • Base currency lock-in: The base currency and its associated country setting can become read-only after initial setup. If you need your base currency to differ from your registered country's default (for example, USD for a UAE-based organisation), select the correct country during initial configuration, then update the country field — before the option becomes greyed out. [5]
  • Historical records are not automatically updated: When you change an exchange rate, existing records retain the rate that was in effect when they were created. This is by design to preserve historical accuracy. Use the record-level auto-update triggers or the manual Update icon to selectively refresh rates on specific records. [2][3]
  • Permission gaps: Users without the "Update Exchange Rate" permission will not see the update icon on records and cannot refresh rates manually. Ensure the correct profiles have this permission enabled if you want distributed rate management. [1]
  • Automation scope: The record-level exchange rate update triggers are separate from the currency master rate update. Configuring automatic master rate updates does not automatically cascade to all existing records — you must also configure the record-level triggers if you want that behaviour. [1]

What to check


  • Base currency is correct and matches your organisation's primary reporting currency before any foreign currencies are added. [5]
  • Exchange rate update method (automatic vs. manual) is set for each active currency, and the appropriate user permissions are in place for any team members who need to update rates on records. [1]
