Zoho Books Setup: Using Client Info for Organization Profile

Zoho Books doesn't have a direct "client info to organization profile" feature in the traditional sense, but you can populate your organization's profile details from client or company information you've gathered. This guide shows you how to set up your organization profile in Zoho Books using the details you've collected.

Why this matters

Your organization profile is the foundation of your accounting setup. It appears on invoices, reports, and financial statements your clients see. Accurate company details—name, address, phone, website, tax ID—build credibility and ensure compliance. If you've already documented this information elsewhere (a client intake form, your CRM, or a spreadsheet), you can transfer it into Zoho Books in one session rather than re-entering it piecemeal.

Step-by-step

Step 1. Log in and navigate to organization settings.

Sign in to your Zoho Books account. Click the Settings gear icon in the top-right corner of the page. This opens the settings panel where you can manage all organization-level details.[8]

Step 2. Locate the Organization Information section.

From the settings menu, find and click Organization (or Organization Information depending on your interface version). This page displays all essential company details: logo, company name, contact numbers, address, website, time zone, and language.[8]

Step 3. Gather your client or company data.

Before you start entering information, have your source document ready. This might be a client profile from your CRM, a business registration certificate, your company's official letterhead, or an intake form. Ensure you have the following details on hand: company legal name, street address, city, state/province, postal code, country, primary phone number, mobile number (if applicable), fax, website URL, and time zone.[8]

Step 4. Enter company name and contact details.

In the Company Name field, enter your organization's legal name (up to 100 characters allowed).[8] Then fill in the Phone field with your main business phone number and the Mobile field if you have a dedicated mobile line.[8] Add your Fax number if your organization uses one, and enter your Website URL.[8]

Step 5. Add your address information.

Fill in the Street field with your street address, then enter the City, State (or province), Postal Code, and Country.[8] These fields ensure your organization's location is correctly recorded on all financial documents and correspondence.

Step 6. Set time zone and language.

Select your primary Time Zone from the dropdown—this is the time zone in which your organization is located.[8] Individual users can override this with their own time zone preference later. Choose your default Language for the user interface; new users will see this language by default, though they can change it for their own login.[8]

Step 7. Upload your organization logo.

Click the logo area and upload your company logo (maximum file size is 2 MB).[8] This logo will appear on invoices and reports sent to clients, reinforcing your brand identity.

Step 8. Save your changes.

Click Edit in the top-right corner to enable editing mode if you haven't already, then click Save once you've entered all information.[8]

Common pitfalls

Entering a company name longer than 100 characters will be truncated, so verify your legal name fits within the limit before saving. If you're in a multi-office organization, remember that the time zone you set here is the *primary* time zone—individual team members can override it for their own accounts, so don't assume everyone sees the same time zone. Logo files larger than 2 MB will be rejected; compress your image before uploading.

What to check

  • Verify that your company name, address, and phone number match your official business registration or letterhead exactly.
  • Confirm that the time zone and language defaults are appropriate for your primary location and user base.
  • Test by generating a sample invoice or report to ensure your organization details appear correctly on client-facing documents.
