This feature makes a workflow field update set a target field’s value to the value of some other field on the record (or a related record) instead of a literal constant. Use it to copy values, keep fields in sync, or push calculated results into reporting fields without writing code.
What is it
In Zoho CRM a workflow field update can assign a field’s value from another field’s current value rather than a fixed number or text. The update can target standard or custom fields and can clear non-mandatory fields as well. You create the field-update action and attach it to a workflow rule so that when the rule’s criteria match, CRM writes the chosen source field’s value into the target field automatically [1]. For cross-record copies (for example, from a lookup or subform row) use a workflow that supports related-record updates or add a function when more complex logic is required [7][3].
When to use it
- Keep a reporting field populated with the latest status from a process field so dashboards and exports use one canonical column rather than multiple columns. [1]
- Copy a sales-stage comment or approval flag from a deal into a related contact or account record when ownership or customer-facing status changes. [2]
- Mirror a calculated value (subtotal, margin, commission) from a CPQ or product-configurator field into a fixed numeric field for legacy reports that don’t read CPQ fields directly. [8]
- Update parent record fields when a subform row changes (for example, when the latest delivery date in a subform should populate the parent’s “Next Delivery” field). Use a subform-triggered workflow or combine with a function if you need row-level logic. [7]
- Overwrite an empty mandatory reporting field with an external ID or normalized email value brought in by an integration, reducing manual cleanup. Use external ID fields when syncing from third-party systems. [4]
How to access it
Open Setup > Automation > Workflow Rules, create or edit the rule for the module you need, then add an Action and choose Field Update (Create New Field Update Action). In the field-update overlay pick the Module and Field to Update, then set the Value — choose the option to assign the value from another field on the record or a related record (or use Set as Empty to clear a non-mandatory field). Save the field update and attach it to the workflow, then publish the workflow rule [2][1]. For subform-row triggers or cross-module updates, create the workflow on the subform module or parent module as appropriate; if the UI option does not expose the exact cross-record mapping you need, implement a server-side Function and call it from the workflow action [7][3].
